Target Tracker - Creating a Phonics report to send to parents

We are sorry that you are currently unable to export the Phonics parent report for Yr 1 and 2 children from Target Tracker.

For Summer 2024, we have two suggestions for creating this, either;

  1. Export your data to your MIS (Guidance can be found here; Managing End of Key Stage Assessments with Target Tracker - Admin processes for EYFS / Phonics / KS1 and KS2)

    and produce the parent reports from there.

    You will need the data in your MIS anyway so may be the best option for you.

    or

  2. We have created a Word template for each year group (attached at the bottom of this article) with a mail merge set up that uses the tracking grid exported from your Target Tracker. Please find instructions, including videos below

There are separate reports for Yr 1 and Yr2 and each requires their own Tracking Grid to be exported.

Exporting the Tracking Grids

  1. Select Yr1 and then open the Tracking Grid (Home > Primary > Tracking Grid)
  2. Select Tests > Phonics Tests to add this column (Do not remove any columns)
  3. File > Export > Export Tracking Grid > Excel
  4. Save as Tracking Grid Y1 in a location of your choice

Repeat for Year 2 but before you export, filter so you just export those children with data;

  1. Click on the heading; Yr2 Phonics twice so all the children with scores come to the top.
  2. Select all the children with scores by clicking and dragging down in the empty column to the left of the names. Select 'Pupil filters' and 'Selected Pupils'. 
  3. File > Export > Export Tracking Grid > Excel. Add Y2 to the filename and choose where to save.

Link your Tracking Grids to the Phonics reports

Open the Yr 1 Phonics Report Word document (attached at the bottom of this article)

Select 'no'

Link to your Tracking Grid Y1  in 'Mailings' > 'Select Recipients' > Use an existing list > Browse to your exported Y1 Tracking Grid

You can use 'Preview Results' on the mailings ribbon to check each document before printing all at once. using 'Finish and Merge'

Tips

  1. Label each tracking grid to identify which year it is from
  2. Ensure you link the Yr 1 Tracking Grid to the yr1 report and the Year 2 Tracking Grid to the Yr 2 report
  3. Use preview to check the mail merge has worked.
  4. The options you see when you load the Word documents may differ from the video but once open just ensure you link to the appropriate tracking grid in Mailings.
  5. Although the mail merge Word document briefly explains that children who did not pass will either take the test again or receive more support throughout Yr2, we have included a copy of the usual second page here in case you would like to send this to the appropriate children's parents. As this page is not personalised to each child you can just print one copy and photocopy to include as necessary.

You might want to save each document now they are linked to your Tracking Grids, preferably using 'Save as' and adding something like 'merged'. When you reopen this document and it asks about connecting to the data source, say 'yes'.
