This guide is designed to inform administrators of the processes required to submit End of Key Stage Assessments from Target Tracker as a Data Return for your LA or the STA, or to import this data into your school’s Management Information System (MIS).
Please ensure you have at least v16.5 of the Target Tracker software installed on your computer.
To check this, go to File > About (bottom right-hand corner of File menu box)
To update to 16.5: Updating your Target Tracker software
**IMPORTANT: You may need to edit the CTF once you have saved it.***
We are aware that the Primary Assessment Gateway and some LAs will reject data returns from Target Tracker** Our advice is to either;
- Complete Steps 1 and 4 and make your return from your MIS, or
- Simply edit the data return file from Target Tracker following the guidance in this article; Resolving an invalid data return CTF
Checking your Data
EYFS | Choose the Year Group – EYFS2020 Reports > End of Reception > Pupil Attainment | Pupils should have an ELG assessment of: 1 (Emerging) or 2 (Expected) for all aspects. |

Ensure that a Phonics score or code has been entered for all Year 1 pupils, and any Year 2 pupils who did not meet the standard in Year 1. Note: It is the scores/codes that are returned so it does not matter if the outcome column is not populated when you make the file. |

KS1 - Pupils should have a Teacher Assessment Code for Reading, Writing, Maths and Science. The codes will be either Working Towards (WTS), Working At (EXS), Greater Depth (GDS), a Pre Key Stage Standard or EM (Engagement Model). For Science the only options are EXS, Has Not Met (HNM), Pre-Key Stage 1-4 (PKS) or EM. Test results can be entered in the Tracking Grid. KS2 - Pupils should only have a Teacher Assessment Code for Writing of Working Towards (WTS), Working At (EXS), Greater Depth (GDS), a Pre Key Stage Standard or EM (Engagement Model), and Science of Working At (EXS), Has Not Met (HNM), a Pre Key Stage Standard 1-6 or EM. |

Updating your MIS with End of Key Stage Assessments
File > Export > Data for MIS > Phonics / EYFSP / KS2 Data for STA This will produce a CTF that can be imported into your MIS. Please refer to your MIS for importing guidance.
Submitting End of Key Stage Judgements to your LA
To ensure that all contextual data is up to date for the pupils in Target Tracker update the software from your MIS prior to producing the Data Returns – Guidance for Updating Pupil Information in Target Tracker
NB: Ensure that leavers are not removed if your school is responsible for their End of Key Stage Data Return.
File > Export > Data Returns > Phonics / EYFSP / KS2 Data for LA
Once selected, a message will give more detail on the data to be exported. You will be warned if you have any missing information. The ‘more details’ option will allow you to see which children are missing data.
You will be prompted to choose where you would like to save the file to. Do not rename the file, as this is the address when you send the file to the LA.
**IMPORTANT: We have become aware that the PAG and some LAs are rejecting data returns from Target Tracker** Our advice is to either;
- Complete Steps 1 and 4 and make your return from your MIS, or,
- Simply Edit the data return file from Target Tracker following the guidance in this article;
Resolving an invalid data return CTF
Your LA should have provided guidance explaining how to send the data return file. Target Tracker Data Return CTFs are made using the same specification as those made from your school’s MIS.
Importing KS2 Test Results from The Primary Assessment Gateway
Based on last year’s experience, a CTF will be available from the Primary Assessment Gateway. Once logged in, go to, ‘Available Activity’, then ‘View and download KS2 test results’. There will be an option at the top called ‘Download results’. Open that page and choose;
Common transfer file (CTF) – you can then download either full results or full results with TA scores. Once downloaded, either file can be imported into Target Tracker using File > Import > Update Assessments.
Entering Yr4 Multiplication Times Table Check results (MTC)
Results can be entered manually into Target Tracker; Select Year 4 then Home > Primary > Tracking Grid then click on Tests > Year 4 Multiplication.
Right click in the Y4 MTC column within Maths to edit and then enter scores. Click away from the column to save.
NB: You are not able to import the file you download containing MTC results directly into Target Tracker. Instead, we advise creating a CTF for just Year 4 from your MIS (see below) which can then be imported into Target Tracker using File > Import > Update Assessments.
If your data has been entered into your MIS - import it into Target Tracker
Create a general CTF from your MIS (not a EYFS/Phonics / KS1/2 file) – just for the year group you require data for, selecting Student Basic Details and End of Key Stage Assessments (including Tasks and Tests, if applicable) to be included.
Import this into Target Tracker; File > Import > Update Assessments. This will update all statutory assessment data of all children in the year group included in the file. It won’t update any contextual data / add new pupils / remove pupils.

Importing Yr4 MTC
